Procedure for Reporting and Recording Accidents and Incidents (RIDDOR)
Gurkha Technology is committed to complying with the Reporting of Injuries, Diseases and Dangerous Occurrences Regulations (RIDDOR). The following outlines our procedure for identifying, recording, and reporting accidents and incidents in the workplace.
1. Immediate Actions
- Provide first aid to any injured person.
- Secure the area to prevent further harm.
- Notify the on-site manager or designated Health & Safety Officer immediately.
2. Recording the Incident
All accidents, incidents, and near-misses must be recorded in the company’s official Accident Report Book. Details to be recorded include:
- Date, time, and location of the incident
- Full name of the person(s) involved
- Description of the incident and injury (if any)
- Names of witnesses
- Immediate actions taken
- Name of the person reporting
3. Assessing RIDDOR Criteria
The Health & Safety Officer will determine if the incident is reportable under RIDDOR. Reportable events include:
- Deaths
- Major injuries (e.g., fractures, amputations, loss of sight)
- Injuries resulting in over 7 days of work absence
- Occupational diseases (e.g., carpal tunnel syndrome, dermatitis)
- Dangerous occurrences (e.g., equipment failure, fire, explosion)
4. Reporting to Authorities
If the incident meets RIDDOR reporting criteria, the Health & Safety Officer will file a report with the Health and Safety Executive (HSE) using the official online system within the required time frame.
5. Internal Investigation
An internal investigation will be conducted for all serious incidents to identify root causes and prevent recurrence. A report will be prepared with corrective action recommendations and shared with relevant stakeholders.
6. Confidentiality & Record Retention
All reports are treated as confidential. Records will be securely stored for a minimum of 3 years in accordance with legal requirements and internal policies.
7. Staff Training & Awareness
All staff are trained to understand how to report incidents and are reminded of this procedure during onboarding and annual safety briefings.
